Suggested Restock
How to read Stock Replenishment, switch between Forecast and Min-max, and use report views
Stock Replenishment is where you decide what to reorder. Each row is one product at one location.
What you can do here
Each row shows the product, how much you can sell, expected demand, open purchase orders, and a suggested order quantity when it is time to reorder.
From this table you can:
- Switch a product between Forecast and Min-max, on one row or for several rows at once
- Change lead time and days of stock
- Assign a supplier
- Filter, search, and open a report view
- Create purchase orders from the rows you select
How to read status badges
Statuses are checked in this order. The first one that applies is the badge you see.
Snoozed
SnoozedYou snoozed this product at this location, so it is set aside until you are ready to review it.
On Order
On OrderUnits are still coming in on an open purchase order.
Excess
ExcessWhat counts as too much stock depends on the planning mode.
Forecast: You are holding far more days of cover than your settings call for. The row is Excess when days of stock remaining are more than twice your lead time plus days of stock, and you already have at least your desired stock on hand. Lead time and days of stock come from that product and location (or from your shop defaults if you have not set them on the row).
Min-max: Available is above your max stock. Days of cover are not used. If min and max are not set yet, the row is not marked Excess.
Critical
CriticalYou have less than 1 available, or available is below safety stock.
Order Now
Order NowAvailable is at or below the reorder point, so it is time to place an order. If a reorder point is missing, a suggested quantity above zero can still mark the row Order Now.
Good
GoodNone of the above. Stock looks healthy for this product.
Text under the badge
- Usually days of stock remaining.
- For Forecast Excess, days of cover compared with that doubled window. Open the badge to see the numbers.
- For Min-max Excess, how many units you are over max.
- For On Order, how many units are still coming.
Filters use the same rules as the table, so the counts match what you see.
What Available means
Available is the quantity you can still sell at that location. It matches Available in Shopify admin.
Shopify subtracts units that are already committed (held in an active checkout) or reserved (held by an app, a sales channel, or a B2B draft order). Those units can still be in the warehouse, but you cannot sell them.
When you receive a purchase order and update cost, Inventory Mate uses physical stock on hand across all locations, not Available. A reserved unit is still part of your cost. See Automatic cost sync at PO receipt.
How Forecast builds a suggestion
In Forecast mode, Inventory Mate uses your sales forecast, lead time, and days of stock to decide when to reorder and how much to order.
What goes into the target
- Lead time demand — units you expect to sell while you wait for the supplier.
- Days-of-stock demand — extra units so you still have the days of cover you asked for after that delivery arrives.
- Safety stock — a buffer for days when sales run higher than usual. A longer lead time, or sales that jump around, makes this buffer larger.
Each of those is rounded up to a whole unit.
- Reorder point is lead time demand plus safety stock. This is when to order. It does not include the extra days-of-stock cover.
- Desired stock is lead time demand plus days-of-stock demand plus safety stock. This is how full you want to be after the order arrives.
How the suggested quantity is chosen
Inventory Mate looks at this gap:
Desired stock − available − open purchase orders still coming in
Open purchase orders are what you ordered minus what you have already received. Rejected quantity is only a note on the purchase order. It does not reduce what is still coming while the order is open.
The suggestion is that gap, rounded up to a whole number, and never below zero.
You only see a suggestion when you are out of stock or available is at or below the reorder point. If you are still above the reorder point, the suggestion stays 0, even if you are a little under desired stock. You reorder when you hit the reorder point, not to top up a small gap.
What you see in the table
- Desired stock can show one decimal so it does not look identical to available when the two are only slightly different.
- Suggested restock is always a whole number of units.
Settings that change a Forecast suggestion
Lead time
How many days the supplier takes. A longer lead time raises lead time demand and safety stock, so you reorder sooner. This drives the suggestion only while the row is on Forecast.
Days of stock
How many extra days of cover you want beyond the lead time. This raises desired stock. This drives the suggestion only while the row is on Forecast.
Open purchase orders
Incoming orders reduce the suggested quantity. If any units are still open on that row, the status shows On Order before the other statuses (except Snoozed).
How to choose a planning mode
Each product at each location has a planning mode. Change it on the row, or select several rows and choose Set planning mode. You can switch back and forth. Numbers you are not using stay saved.
Forecast (default)
This is the usual way to plan. The suggested order comes from your sales forecast, using the lead time and days of stock on the row.
Min and max can stay filled in, but they do not change the suggestion while the row is on Forecast. Switch to Min-max when you want those numbers to drive the order.
Changing the mode does not replace the forecast. The forecast stays in the background. While a product is on Min-max, the quantity you see in Stock Replenishment, on the dashboard, in notifications, and when you add products to a purchase order comes from your min and max instead.
Min-max
Use this when you want to set the reorder rules yourself for that product:
- Min stock is when to reorder. Status and the suggested quantity use this instead of the forecast reorder point.
- Max stock is how full you want to be after the order. This replaces the forecast desired stock.
- Inventory Mate adds available and open purchase orders.
- If that total is at or below min, the suggested order brings you up to max, and it is never negative. If you are already above min, the suggestion is 0.
- Excess means available is above max. The forecast rule for “too many days of cover” does not apply.
When you switch one row from Forecast to Min-max and min or max is empty, Inventory Mate fills min from the current reorder point and max from the current desired stock. When you switch that row back to Forecast, it updates min and max from the latest forecast so they stay in line the next time you switch.
To change many rows at once, select them and choose Set planning mode. If you pick Min-max, enter the min and max you want applied to every selected row.
Lead time and days of stock stay on the row, and they still update when you run a full sync. They do not change the suggested quantity until you switch that product back to Forecast.
How to use report views
On Stock Replenishment, open Reports to change what the table shows. Three views are always available. Reports you save yourself appear under those.
- Open Reports.
- Choose a view:
- Default view — products with a suggested order greater than 0, excluding snoozed items. You see lead time and days of stock. Planning mode, min, and max stay hidden so you can focus on what to buy.
- Forecast planning — the same “needs an order” list, limited to products still on Forecast. Planning mode is visible so you can switch a row to Min-max. Min and max stay hidden.
- Min-max planning — every product on Min-max, including ones that do not need an order right now. You see planning mode, min stock, and max stock so you can review those bounds. Lead time and days of stock are hidden.
- After a view loads, open Columns if you want more fields.
- Choose Save to keep your current filters and columns as a named report. It appears under the built-in views.
How to update many rows or create a purchase order
Select the rows you want, then:
- Set planning mode, min stock, max stock, lead time, days of stock, or supplier
- Choose Create PO to start a purchase order from the current suggested quantities and suppliers
Tips
- In Forecast mode, set lead time and days of stock to match how you actually buy, so the reorder point and desired stock stay realistic.
- After you change forecasting settings, run a full refresh so older rows pick up the new targets.
- Filter to Order Now or Critical when you are placing orders. Open Reports → Min-max planning when you want to review products you plan by hand.
- If a number looks wrong, check planning mode, open purchase orders, snooze, and the settings for that location before you assume the forecast is off.
If numbers look stale
- Confirm inventory and orders have synced.
- Refresh suggested restock for the shop.
- Check lead time, days of stock, and the supplier for that product and location.
- Check open purchase orders. Incoming quantity lowers how much the app suggests you buy.
